Full-Time Church Office Manager Holy Cross Pastorate / St. Bernard Catholic Church, Middleton, WI
Holy Cross Pastorate is seeking a dedicated, full-time Office Manager for St. Bernard Catholic Church in Middleton, WI. This role is essential in supporting the administrative and clerical functions of our Church and Pastorate.
The ideal candidate will possess strong organizational, communication, and interpersonal skills, as well as a deep commitment to serving our parishioners and helping our priests and staff. The ideal candidate will be a faithful Catholic who loves Jesus and has a passion for serving others. A warm, friendly, outgoing personality, attention to detail, the ability to multitask, and a collaborative team spirit are all key qualities we are looking for.
This position will involve typical office duties, including but not limited to managing various administrative tasks, assisting parishioners, volunteers, priests and staff, data entry, and project work.
This position will be located at St. Bernard Catholic Church in Middleton, WI.
Some Key Responsibilities:
Serve as the welcoming face of the office by greeting visitors and responding to phone and email inquiries with warmth and professionalism.
Manage the church and pastorate calendars and email inbox.
Enter data for weekly collections and other financial contributions.
Assist with various project work to support the Church and Pastorate staff and ministries.
Maintain and update databases, including member information, sacramental records, and contact changes.
Prepare and send mailings.
Prepare bank deposits and assist with financial record-keeping.
Handle inquiries regarding sacramental records (Baptisms, Marriages, Funerals, First Holy Communions, Confirmations).
Coordinate and oversee office volunteers.
Perform general office duties, including ordering supplies, filing, and maintaining records.
Manage Mass stipends, Mass scheduling, and associated record-keeping.
Maintain a clean and orderly office, reception area, and supply closet.
Share the Good News of Jesus through both words and actions.
Desired Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Publisher, Access) and Google Suite (Gmail, Google Calendars, etc.).
A willingness and ability to learn new software programs.
Strong attention to detail and the ability to prioritize and manage multiple tasks.
A welcoming demeanor with a focus on customer service and parishioner engagement.
